Shivi Facilitator Service Private Limited ("SFSPL", "Shivi Facilitator", "we", "us", or "our") operates as a CSR Aggregator, RFP & Tender Support Agency, and Strategic Partnership Facilitator connecting Corporates, NGOs, Government bodies, and Communities through our website shivifacilitatorservice.com and our registration platform registration.shivifacilitatorservice.com (together, the "Platform"). This Privacy Policy explains how we collect, use, share, and protect information when you visit the Platform or register your organisation with us.
By using the Platform or submitting any registration or contact form, you consent to the practices described in this Privacy Policy. If you do not agree, please do not use the Platform.

We collect the following categories of information, primarily through our registration forms (Corporate/CSR Foundation, NGO/CBO/Trust, Government Agency, Implementation Partner, and Other Organisation) and our contact form:
Organisational details: company/organisation name, CIN or CSR-1 registration number, type of organisation, years of operation, annual CSR budget or turnover range, geographic presence, and headquarters state.
Contact person details: name, designation, official email address, and phone number.
Programme information: CSR focus area, thematic area of interest, funding support needed, brief description of CSR objectives or project proposals, and nature of enquiry.
Communications: any messages, documents, or correspondence you send us via the contact form, email, phone, or WhatsApp.
Technical information: IP address, browser type, device information, and website usage data collected automatically through standard web and hosting analytics (our Platform is built and hosted using Hostinger/Zyro website infrastructure).
2. How We Use Your Information
To process and respond to your registration as a Corporate, NGO, Government Agency, Implementation Partner, or other organisation.
To assess compatibility and facilitate matching between Corporates, NGOs, Government departments, and implementation partners for CSR projects, tenders, RFPs, and funding opportunities.
To conduct partner due diligence, needs assessment, and compatibility screening as part of our facilitation process.
To prepare proposals, budgets, MoUs, compliance documentation (including CSR-1/CSR-2 filings, utilisation certificates, and Board Report annexures), where engaged to do so.
To communicate with you regarding your registration, enquiries, and ongoing engagements, including via email, phone, and WhatsApp.
To conduct impact assessment, social audits, and reporting in relation to facilitated projects.
To improve our Platform, understand usage patterns, and maintain security.
To comply with applicable legal and regulatory obligations, including under the Companies Act, 2013 (Schedule VII / CSR Rules) where relevant to facilitated engagements.
3. Sharing of Information
Because SFSPL operates as a facilitator connecting multiple stakeholders, information you provide may need to be shared, on a need-to-know basis, with:
Corporates, CSR Foundations, or Government agencies you are seeking to be matched or partnered with (for NGOs, implementation partners, and other registrants).
NGOs, implementation partners, or training organisations being considered for a CSR project or programme (for Corporates and Government registrants).
Third-party service providers that support our operations, such as website hosting/infrastructure providers, communication tools (including WhatsApp Business), and document and e-signature platforms.
Statutory authorities, auditors, or regulators, where required for compliance, audit, or legal purposes, or where required by law.
Professional advisors (legal, financial, or secretarial) engaged in connection with a specific facilitated project.
We do not sell your personal information to third parties. We share information only as reasonably necessary to deliver the facilitation services you have registered for, or as required by law.
4. Legal Basis for Processing
We process personal information on the basis of: (a) your consent, given at the time of registration or when submitting a form; (b) the necessity of processing to take steps at your request prior to entering into an engagement; and (c) our legitimate interest in operating and improving the Platform, subject to your fundamental rights and freedoms.
5. Data Retention
We retain registration and engagement-related information for as long as necessary to fulfil the purposes described in this Policy, to maintain records for facilitated CSR projects (including for compliance, audit, and reporting purposes that may extend beyond project completion), and to comply with applicable legal, accounting, or regulatory requirements. Where information is no longer required, we take reasonable steps to delete or anonymise it.
6. Data Security
We implement reasonable administrative, technical, and organisational safeguards designed to protect personal and organisational information against unauthorised access, alteration, disclosure, or destruction. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
